We’ve been working through your feedback: the extra clicks, the missing shortcuts, the “why can’t I just…?” moments. Favorites, recent items, direct file uploads, better password notes, clearer archives—you’ll find your requests throughout this update.

Bring your own MCP connector
to let Ask Lex work with information from compatible tools alongside your Lexful knowledge. Pull in live operational context, compare it with your documentation, and work through the answer in one conversation.For example, connect Liongard and ask Lex about changes in a client’s environment, then use that context to review the relevant documentation. What Lex can do depends on the tools your connector exposes and your admin enables.
New in this release: OAuth support.
Each person can sign in to their own account for an OAuth connector, so calls use their access in the connected system. If a connection is needed during a conversation, Lex offers a Connect
prompt right there in chat.Admins configure connectors and choose their available tools in

Microsoft Entra SSO is out of early access
Microsoft Entra single sign-on is now available to every Lexful account.
Set up SAML yourself in Platform → Authentication → SSO connections
, with no support activation required.There’s more here than one less password. Set the starting role and organization access for new users, then map Entra group claims to Lexful roles and groups. Choose whether those mappings apply when users are created or at every sign-in.

Ask Lex gets a glow-up

- A cleaner history experience.Use the compact conversation picker in a narrow panel or the history rail when there’s room. Search conversations by title, delete individual chats, or clear your history with confirmation.
- Keep the record beside the conversation.Ask Lex can work alongside an open asset drawer with that record as context.
- Know which chat you’re in.New conversation titles appear in the header as the conversation gets going.
You asked for fewer clicks
These are the small changes you’ll use all day.
- Password quick views from documents.Open a linked password in a popover without losing your place in the document.
- Copy the password, see the code.Copying a password from its quick view or record details reveals its configured one-time code. Your clipboard keeps the password until you choose to copy the code.
- Password notes with breathing room.Press Enter for another line. Notes grow as you type and keep their line breaks when you read them.
- Generate a password where you need it.Secret fields offer a password generator with length and character settings. Apply the result when you’re happy with it; your preferences are remembered.
- Share the exact record.UseCopy linkfrom the record header.
- Take back some screen space.Collapse the side navigation to give your work more room.
- Clear a search in one click.The×in asset-list and organization-picker search clears the text while keeping the rest of your view intact.

- Single sign-on with Microsoft Entra ID (early access): Your team can now sign in to Lexful through Entra ID using SAML, so there's one less password to forget. Admins set it up under Settings → Authentication → SSO connections, either by importing your Entra metadata or entering the details manually, and can map Entra claims to Lexful roles and groups so permissions follow your directory. - Saving an asset with an invalid reference no longer wipes out the asset's existing references or leaves a half-built asset lying around.

This release brings a refreshed Lexful workspace, folders powered by nested tags, and revision history for documents and other records. With asset categories, grouped fields, and personalized views, you can shape the workspace around the way your team works.
Action required: password reveal is now off by default.

Open a record, make a change, and get back to what you were doing.
- Records open in side drawers.Documents, passwords, contacts, and other records share a consistent create and edit experience, with attachments and access controls close at hand.
- Organizations get their own workspace.Overview, notes, details, and activity history come together in one place.
- Lists keep moving.Lists grouped by organization now scroll continuously and load as you go. NewDisplaycontrols, clearer empty states, andClear filtersmake it easier to find your bearings.
Make the workspace your own
Your documentation should feel organized around the way your team works. The redesigned asset type editor and Display controls give you control over the structure, the detail, and the view.
- Give every asset type a home.Create categories such as Infrastructure, Client Operations, or Business Services, then arrange your asset types within them. Rename and reorder categories to make the navigation feel familiar to your team.
- Bring order to each record.Group related fields into clear sections and arrange them in a useful order. Keep the key details together, with supporting information easy to find.
- Put the right information up front.Choose which fields appear in each asset type's Overview and default list columns. A contact, a network device, and a contract can each highlight the information that matters for that kind of record.
- Let each person shape their view.Use Display to choose columns, change their order, group records by organization or tag, and switch between lists and folders where available. Admins set the shared defaults; individuals can tailor their own view to the task.
- See where documentation needs attention.Field coverage shows how often a field is populated in the records you can access. Open its matching records directly from the builder to investigate.
The result is a cleaner workspace at every level: organized navigation, thoughtfully grouped records, and lists that show what you need.
Your tags, now with room to grow
Build the structure your team needs, from a few broad categories to a detailed hierarchy.
- Go beyond two levels.Nest tags as deeply as you need and assign parent tags directly. Tags already in use can gain children without losing their existing assignments.
- Pick tags the same way everywhere.Inline tagging, bulk tagging, filters, and mentions use a consistent tree picker with keyboard support, full paths such asSOPs › Infrastructure › Backup, and locks on restricted tags.
- Filter the whole branch.Parent-tag filters can include descendants, and lists can be grouped by tags with children.
- Reorganize with a preview.InSettings → Tags, move tags under a different parent or use bulkMoveandMergeto tidy whole branches.
- Less clutter in tables.Tag badges show one tag plus a count of the others; hover to see the full path.
Folders without duplicate documents
Your tags now double as folders, giving you a familiar way to browse without creating extra copies of your records.
- Switch between List and Folders.Browse a hierarchy of folders and subfolders. Parent folders include records filed directly in them and in their descendants.
- File it where it belongs.UseAdd to folderto keep existing folder memberships, orMove to folderto change them. Drag and drop to file records, and useUndowhen you need to reverse a filing change.
- Find what still needs a home.Unfiledbrings together records without tags.
- Use folders beyond Documents.Folder view is on by default for Documents. Admins can enable it for other asset types inSettings → Asset typesand choose whether empty folders appear.
Access that follows your structure
Folder access now follows the tag hierarchy, with clearer visibility into inherited grants.
- Parent grants flow down.A grant on a parent folder can provide access to non-private records tagged with that folder or its descendants. Account, organization, and asset-type permissions still apply.
- See where access comes from.The access panel shows inherited grants. A child can add access without removing access inherited from its parent.
- An empty grant list stays restricted.Removing the last grant from a restricted tag no longer opens its records to everyone. Removing the restriction is a separate, explicit action.
- Review access implications.Filing and tag-management actions that require access-change confirmation show the changes before you proceed.
Rewind your records
Revision history works across documents and other asset records. Compare versions, see what changed, and restore an earlier version when you need to.
More useful document actions
Keep working from the document itself.
- Export and keep iterating.Download documents asPDF, Markdown, or HTMLto share with clients, reuse in other tools, or keep refining outside Lexful.
- Use Duplicate, Move, Archive, and revision previews directly from the document.
- Spot expiry dates in the header: red when expired,amber when due within 30 days. The Edit button stays in a consistent position.
- Hand a document to Ask Lexwith its context already attached. Review clearCurrentandProposedversions, then explicitly accept the changes you want to keep.
- Save from the keyboard.UseCmd+Son Mac orCtrl+Son Windows while editing in the record drawer.
- Paste images as Markdown and see the images render correctly.

Find
adds Documents and Passwords filters, plus shortcuts for jumping straight to a record type: /docs, /passwords, /contacts, /locations, /domains, /orgs, and /expiring.The
Expirations
page lets you search by record or organization name, group by asset type or organization, choose columns, and expand or collapse groups. Summary counts follow the search so you can focus on the dates that matter.More control, cleaner settings
- The asset type editor adds a field inspectorand controls to archive and restore custom types.
- Password reveal is configurable on the Passwords asset type.When enabled, revealed passwords hide again after 30 seconds.
- Account, user, and group settings are refreshed.Users and groups open in drawers, and organization and scope pickers put current selections first.
- Rename API keys inlineand see warnings when an IP-restriction change could lock you out.
- Create Skills from scratch, or import and export them as Markdown. Connectors now use the same card layout.
Your IP allowlist now covers MCP
Account IP restrictions also apply to AI clients connecting through Lexful's MCP endpoint. If your account uses an allowlist, make sure it includes the outbound IP addresses used by those clients.
The smaller fixes you'll notice
- Search previews are cleaner and easier to read.
- More reliable search keeps useful results in view.
- Clearer button contrast makes actions easier to spot.
Ask Lex can now reach outside Lexful
Admins can now connect Ask Lex to any external tool that exposes an MCP server that uses standard header or token-based authentication. Point Lex at a URL, drop in a Bearer token, pick the tools you want to expose, and Lex can query that system live, right from the chat, mid-ticket, without switching tabs.
Nothing is synced or stored on Lexful's side. When you ask a question that needs external data, Lex reaches out in the moment and brings the answer back.
This opens the door to any MCP-compatible tool in your stack: RMM platforms, PSAs, monitoring systems, and more. Visit our Knowledge Base to learn how to set it up in Settings → Ask Lex → Connectors.
Your edits are safe now - even when you cancel
We fixed a frustrating one: clicking
Cancel
or pressing Escape
while editing an asset would silently discard everything you'd typed. Now you'll always see a confirmation dialog before any unsaved changes are lost. Your work, your call.Integrations settings are for admins only
The Integrations section of the sidebar, including Data Sources and Data Sync, is now only visible to users with the right permissions. Non-admin users won't see it cluttering their nav, and admins get a cleaner signal that this is their territory.
Ask Lex completes all asset edits
When you asked Lex to update an asset containing reference fields (like linked contacts or related records), it would confidently tell you it was done, and then quietly not save anything. That's fixed. Lex now correctly handles reference properties when creating and updating assets.
Actions column can no longer be dragged out of view
On the Passwords list, the Actions column could accidentally be removed with no way to restore it short of clearing cookies. It's now available directly from the Column Picker with a hide/unhide toggle.
Ctrl-B (Windows) or Cmd-B (Mac) no longer breaks the left navigation
Using Ctrl-B (Windows) or Cmd-B (Mac) while editing a document could collapse the left nav and leave the layout in a broken state. This shortcut now behaves correctly inside the document editor.
Column settings panel no longer cut off in grouped tables
The column settings panel on grouped data tables could be constrained by the table's height, making some options hard to reach. The panel now displays properly regardless of table size.

General Availability Updates
What we've been up to
On August 3rd, Lexful reached general availability. The weeks since have been about making Lexful the place your whole team can move to: bring your IT Glue or Hudu tenant across with everything attached, keep it in sync with your PSA, RMM, and find anything you need, including what's inside your attachments, in a couple of keystrokes.
Highlights
Migrate from Hudu or IT Glue with everything intact using the importer app
- You can now import a Hudu tenant end to end: assets, file attachments, inline images, contacts, and related items, including relationships that cross organizations. IT Glue imports bring SSL certificates and domains across with their dates, so expirations show up in Lexful on day one, and IT Glue "tag" fields land as live links to the referenced asset instead of plain text.
- Note: Hudu imports require the Lexful migration app 0.3.5 or later. The app now checks for updates on launch, lets you choose your region (US, AU or EU), and stores your IT Glue key in Lexful rather than on a technician's machine.
Warehouse: A new integrations engine for your PSA, RMM
- ConnectWise PSA, Autotask, HaloPSA, NinjaOne, ConnectWise RMM, N-able N-central, Datto RMM now feed Lexful through a rebuilt integrations engine that we call "Warehouse". Test the connection before you configure anything, follow the helper text on every setup card, and map types and statuses with clear guidance: uncategorized records never sync silently, and you see expected record counts before you save a filter. Sync now helps you kick off the sync and watch it populate.
- Organizations, contacts and devicesin Lexful mirror the source, including deactivations and deletions. Inactive HaloPSA users show as inactive, a nightly reconcile archives records deleted at the source, and the same company arriving from two integrations merges into one record instead of two.
- NEW Data Sync setup flow that lets you choose exactly what syncs into Lexful.
Search inside everything
- Search now indexes the contents of your attachments and documents for every account. No flag, no opt-in. Type into Ctrl/Cmd+K delivers keyword matches first, then documents that answer your question with different words, and no slowdown.
- Tip: Ctrl/Cmd+K opens search from anywhere in Lexful.
Ask Lex: interruptible and honest
- Ask Lex can be stopped, tells you when it fails, summarizes tool activity to keep chat output clean, and reaches other tools via MCP (Liongard the first certified MSP connector).

- Double-click any row to open the full asset; single-click still opens Quick View. Cmd/Ctrl+click opens it in a new tab.
- List views are shareable: filters, sort, search, tags, organization, the archived toggle and paging all live in the URL.
- Copy or move assets between organizations in bulk. Handy for consolidating duplicate orgs.
- Permanently delete archived assets.
- Group fields into sections in the asset type builder; detail views follow the grouping.
- Reference fields display values in list views, respecting display order.
- Pickers now distinguish same-named assets.
- Reorder grouped asset tables directly from the asset list page.
- Expirations view refinements.
- Tag management: pagination, cleaner removal, and tags offered only where they apply to the asset type.
Documents and files
- Preview attachments in the browser: PNG, PDF, CSV, LOG, DOCX and more. No need to download the file.
- Export an operations manual as PDF, or raw data as CSV, per organization, with secrets flagged. Now available to every account.
- Print a single document with a clean, navigation-free view.
- Paste images straight into documents. Large pastes now save reliably.
- Navigating away from an unsaved document prompts to ensure data is not lost.
- Attachment size limits are shown up front.
Security and administration
- License status is visible on the organizations list, and read-only or disabled organizations are enforced consistently in Ask Lex and the API.
- Unified sign-in screens with a proper error page.
- Browser password managers can no longer capture Lexful-managed shared credentials.
- Audit log: clearer UI, and archive vs. delete are now distinct events.

Tags as categories
Tags give you a powerful way to categorize your assets in LIst Views. Use existing tags, or design new tags specifically to categorize your assets when engaged in different tasks. Tags can be restricted to operate on a subset of assets to keep views relevant and targeted. Read More
Search within attachments
Attachments on assets often contain vital operational data which you wish to enable for keyword search, and search with Lex. For each attachment you now have the option to add or remove it from our powerful search engines.
Expirations view
Never miss an impending expiration again. Domains, SSL certificates, software licenses, contracts. Any date field in any asset can be monitored and brought together in one account-wide view. Read More
Export data
Export all client data on a regular basis to ensure you have access to your vital information if anything prevents your access to Lexful. Export a selection of clients should you need to transfer this data to your clients directly, or to transition to an incoming service provider. Read More
List View column sorting
Using a new Settings tab in the Asset Type Designer, Administrators can now specify the column order, and toggle the 'hidden status' of any columns, helping to focus on the data that matters most to your team. Note: All fields will still show data in Quick View, and when the Asset is open in Asset Detail View.
Personalization of views
Each user can hide and re-order columns in their asset views to suit their preference. Personalized settings are now retained when navigating around the app, and when signing in and out of Lexful. Right click on a column to pin it left or right in the asset view, and use the Column selector to re-order and toggle visibility. Read More

Click to copy for url fields
Added an icon to add contents of url fields to the clipboard.
List View field visibility
When you are working in the context of a specific organization using the Org Switcher, the Organization column is now hidden by default.
Secret, OTP and Rich Text fields are hidden in List View, as their contents do not display in columns.
Related Items operate between Organizations
Relationships can now be configured between any assets in Lexful, and are no longer constricted to the same Organization.

For each List View you can opt to view columns in the full width of your monitor to prevent unnecessary horizontal scrolling.

When switching context to an organization using the switcher, the visible List View is now updated to reflect the selection.

The title of an attachment can now be edited in place using the pencil icon.

Tags apply permissions
Each tag can now optionally be configured to apply permissions to all assets. Bulk application of standardized permissions via tag, quick visual filtering in all views, and instant visual feedback of where permissions are applied.
Role based access control can be applied in addition to tag based assets, and is displayed on each asset's
